Where the AI actually goes
Most of a workflow doesn't need AI, and putting it everywhere is how these projects become slow and expensive.
Rules handle the deterministic parts — faster, cheaper, and fully predictable. AI goes specifically where the work needs judgment: reading unstructured input, categorising something ambiguous, deciding what an email is actually asking for.
We use the cheapest mechanism that reliably works at each step. That's not a compromise; it's what makes the whole thing maintainable.
How we approach it
- We watch the workflow first
- Sitting with the people doing it, following one real case end to end. Documented processes and actual processes differ, and the difference is where the automation opportunities are.
- We look for the process problem
- Occasionally a workflow exists because of an old constraint that no longer applies, and the right answer is to delete it rather than automate it. We'll say so.
- We automate the boring 80% first
- The common path, quickly, in production. Edge cases go to humans initially and get automated later if the volume justifies it. Trying to handle everything before launching is how these projects don't launch.
- We build in monitoring
- You'll know what ran, what didn't, and what's stuck. Silent automation failure is worse than no automation, because you stop checking.
Before you ask.
Those are excellent for simple triggers and we'll happily tell you to keep using them. Custom work earns its cost when logic gets complex, volume gets high, or the workflow needs judgment those tools can't express.
